Filters and segments

Filters find contacts that match conditions, like "tagged VIP, in Chennai, and messaged us in the last 30 days". A segment is a filter you save with a name, so you can use it again, including as the audience for a broadcast.

How do I filter contacts?

  1. Go to Contacts and click Filters. A panel opens: Show contacts who…
  2. Set any of the conditions below.
  3. The list and the counts at the top update as you go. Filters · 2 shows how many conditions are on.

To start again, click Clear.

All the conditions must match together. The search box works on top of the filters.

Useful filters

  • Last messaged you → In the last… 1 day: people you can still reply to for free.
  • Last messaged you → Not in the last… 90 days: customers who've gone quiet, for a "we miss you" offer.
  • Last messaged you → Never: imported contacts who haven't replied yet.
  • Contact details → city is Chennai: for a local event.

What is a segment?

A segment keeps your conditions, not a fixed list of people. As contacts change, the segment changes with them. A segment "Tagged VIP" includes someone tagged VIP tomorrow, without you doing anything.

How do I save a segment?

  1. Set up your filters.
  2. Click Save as segment.
  3. Give it a Name, up to 60 characters, like "Active VIP customers".
  4. Click Save segment.

The search box isn't saved, only the filter conditions.

How do I use a segment?

  • On the Contacts page: pick it from the menu that says All contacts. The menu shows how many contacts each segment has.
  • In a broadcast: choose it as the audience. See Broadcasts.

How do I change a segment?

  1. Pick the segment from the menu.
  2. Change the filters.
  3. Click Update "segment name".

How do I delete a segment?

Admins can pick the segment and click the bin icon next to it, then confirm. Deleting a segment never deletes the contacts in it.

How do I tag, opt out or delete everyone in a filter?

  1. Filter the contacts.
  2. Tick the box at the top of the list to select the whole page.
  3. Click Select all N matching to include every matching contact, not just this page.
  4. Choose an action: Add tag, Remove tag, Add to sequence, Opt out, Opt back in or Delete.

You'll see Done: N contacts changed when it's finished. Bulk changes are recorded in the activity log.

Deleting is permanent

Delete removes the contacts and their whole chat history, and can't be undone. Only admins can delete. If you just want to stop messaging people, use Opt out.

Can I export a filtered list?

Yes, if you're an admin. Set your filters, then click Export → Contacts matching the filter (CSV). See Adding, importing and exporting.

Are segments shared with my team?

Yes. Segments belong to the WhatsApp number, so everyone on its team sees them.
